Buildium Onboarding Workflow – Property, Rental owner & Resident Setup
Phase 1 – Add Property to Buildium
  • Navigate to Properties → Add Property
  • Enter address, owner info, and assign primary bank account
  • Link to correct owner per signed PMA
  • Assign property manager (per PMA clause 8)
  • Upload PMA and initial property photos to Buildium Files
Phase 2 – Create Onboarding Task

Task Name Format: [Property Address] – Onboarding – [Date]

  • Category: Owner / Property Setup
  • Priority: Normal
  • Due Date: Agreement signature target
  • Attach: PMA draft, owner contact info, and any notes
Phase 3 – Collect Owner Documentation
  • Collect insurance policy, void cheque, strata bylaws, tax assessment
  • Record data in Buildium owner profile
  • Attach PMA, disclosure, and key receipt
Phase 4 – Advertising & Marketing
  • Upload property photos and description to Buildium listing
  • Publish to Buildium + external platforms
  • Prepare digital flyer and owner link
Phase 5 – Applicant Management
  • Record showing schedule in Buildium tasks
  • Collect applications via Buildium portal
  • Send weekly report to owner
Phase 6 – Tenant Screening & Acceptance
  • Run credit & employment verification per RTA
  • Confirm income/rent ratio ≥ 3:1
  • Upload credit report & owner approval in Buildium
Phase 7 – Lease & Deposit Collection
  • Prepare lease in Buildium
  • Collect deposit and first month rent
  • Upload RTB agreement & receipt
Phase 8 – Move-In & Tenant Onboarding
  • Complete RTB-27 move-in inspection
  • Verify tenant insurance coverage ≥ $2M
  • Upload all forms and photos in Buildium Files
Phase 9 – Accounting & Task Closure
  • Apply placement fee to owner ledger
  • Confirm recurring rent charge set
  • Close task and archive with Buildium notes
